Cleaning Company Leads: Where They Go Missing
Cleaning: why leads from Viber and calls get lost, how to price a job before ordering, one cleaner schedule, photo reports and a repeat booking in one click.
Short answer: a cleaning company with twelve cleaners took orders by phone and in Viber. Every customer started with the price, the manager asked about rooms, bathrooms and extras in chat, some people disappeared once a figure was spoken, and those who booked learned about surcharges on site. The fix has four parts: a calculator that shows the price before ordering; an enquiry form with the right fields; one cleaner schedule where a slot cannot be sold twice; and a repeat cycle that does not depend on the manager’s memory. A cleaning site with that logic starts at from $1,325 (₴55,000).
What matters in 30 seconds
The first question in cleaning is price. If it has to be “confirmed”, part of the crowd never waits.
Price is built from units: cleaning type, rooms, bathrooms, extra services.
An enquiry carrying those four fields can be quoted without a call and without a visit.
A surcharge on site is the shortest route to a lost customer: the sum must be worked out beforehand.
One cleaner schedule removes the overlaps that burn a whole shift.
A photo report and an in-message rating make the next booking likely rather than accidental.
A repeat clean in one click after two weeks brings customers back without ad spend.
Where leads disappear: five places
| Where it leaks | How it looks | How it ends |
|---|---|---|
| The price question in chat | “how much for a two-room clean?” — and “I’ll confirm” | the customer writes to two more firms and books with whoever named a figure |
| Detail gathering | the manager asks rooms, bathrooms, pets, extras across five messages | some never wait for the answer and close the chat |
| No slots | “Tuesday is full, we can do Thursday” in chat | the customer picks whoever showed free hours overnight |
| A surcharge on site | they arrive, find a fifth bathroom and windows, and quote higher | a complaint, no further booking, no recommendation |
| Repeat depends on memory | the manager was meant to call back after two weeks and did not | the customer found another firm by chance, not over quality |
The first four are organisational, cured by a transparent figure and one schedule. The fifth is cured by a message cycle.

Price before ordering: what the calculator counts
Cleaning prices from four parameters, and the customer knows all four themselves:
| Parameter | Options | How it moves the price |
|---|---|---|
| Cleaning type | maintenance, deep, post-renovation, post-construction | the base and the duration |
| Rooms | 1, 2, 3 and up | a linear multiplier |
| Bathrooms | one, two, three | one of the most time-expensive blocks |
| Extras | windows, balcony, fridge, oven, ironing, waste removal | a separate line with its own figure |
Two more fields if you serve offices: floor area and frequency (daily, twice a week, weekly). An office contract is calculated differently from a flat, and in the calculator it is its own service type.
For the calculator to produce enquiries rather than just information:
- Show the sum and the duration. Customers plan their time no less than their money.
- Show what is excluded. Inside cupboards, chandeliers, carpet washing, work at height.
- Offer “company materials / your own”. The price gap must be visible, otherwise a manager has to explain it.
- Ask for a contact and a preferred time. A lead without a phone number is statistics, not a customer.

An enquiry without five clarifying calls: the form fields
| Field | Why | What it saves |
|---|---|---|
| Cleaning type | fixes the scope immediately | two clarifying questions |
| Rooms and bathrooms | the base of the calculation | the “how many do you have?” thread |
| Floor area, m² | for offices and larger flats | a measuring visit you did not need |
| Extras needed | windows, appliances, balcony | a surprise in the final bill |
| Date and preferred time | choice from free slots | three calls to agree |
| Phone and a good time to call | the call lands when it suits | missed calls in peak hours |
A form carrying these fields hands the manager a finished card: sum, duration, address, time. The conversation starts with confirmation, not with data collection.
One cleaner schedule: where overlaps come from
A spreadsheet maintained by two people breaks the same way every time: the customer called on Viber, the manager placed a slot, and the sheet already shows that hour taken by another job.
What works is free time existing in one place:
| Item in the schedule | What occupies it | What happens on a clash |
|---|---|---|
| A cleaner on shift | a window from-to, address, checklist | the site never shows a busy hour to anyone |
| A travelling crew | the day plus logistics | the day closes after two stops |
| An office on contract | a recurring window | a new customer sees only genuinely free days |
| Weekends and holidays | the schedule shifts | slots vanish from every channel at once |
The detail that decides it: the cleaner must see the job in the messenger they already live in. If that means installing an app and remembering a password, the schedule drifts within two weeks.

Surcharges on site: how to remove the surprise
A surcharge appears when the property turned out different from the conversation: a fifth bathroom, pets, old windows, construction dust. The fix is not to average the price out; it is to have the full list beforehand:
- The calculator shows the scope for each cleaning type. Deep includes external appliance surfaces, walls from dust, floors under beds; post-renovation adds removal of construction dust, glue and paint.
- Separate lines with explicit figures. Outside windows, balcony, fridge, oven, ironing, waste removal.
- Photos of the property in the enquiry. Two or three shots remove half the misunderstandings and often replace a visit.
- A rule for changes on site. If the volume is larger than stated, the cleaner calls and agrees the new sum before starting, not after.
A customer who receives a higher bill than promised does not argue with you. They simply stop booking.
Photo report, rating and repeat: a cycle that does not rely on memory
A repeat cleaning order is not loyalty, it is a schedule. People clean twice a month or weekly, and whoever reminds them on the right day wins.
| Step | What happens | When |
|---|---|---|
| Reminder the day before | confirmation of date, time, address | the evening before |
| Photo report | a few frames plus the checklist of completed items | right after finishing |
| Rating in the message | one scale and a field for remarks | the same day |
| Repeat offer | “book the same clean again” in one click, details prefilled | after two weeks |
| Win-back | a short note to those silent for two months | from the CRM list |
A photo report does two jobs: it shows the result and it pre-empts “you missed that”. A rating inside the message gives you a chance to fix things before a negative review lands on your map listing.
Case: a cleaning company in Kyiv
In the cleaning case twelve cleaners took orders by phone and Viber, the manager clarified details in chat, part of the customers vanished once a price was quoted, and the schedule lived in a spreadsheet, which produced weekly clashes.
We built a Corporate Lite site with the calculator above the fold:
- cleaning type, rooms, bathrooms and extras produce the price and the duration at once;
- the customer then picks a free slot the site reads from the cleaners’ schedule in the CRM;
- card payment through LiqPay, or payment after the clean;
- the order lands in the CRM with the address and checklist, the cleaner receives it in the Viber bot;
- the customer gets a reminder the day before and a photo report afterwards;
- after two weeks the bot offers the same clean again in one click;
- the company edits room rates and services itself in Sanity.
Eight pages, 5–6 weeks. The case carries a forecast the company calls a guide, not a promise: a share of orders complete without a call, schedule clashes fall, and a portion of customers book the repeat clean from the reminder.
What to do in the first month
Price three typical jobs: a one-bed maintenance clean, a two-bed deep clean, an office on a weekly contract. Write down the figures and durations.
List the extra services with separate prices.
Put the calculator above the fold on the site.
Build the enquiry form with six fields and one button.
Merge the cleaners’ schedule into one calendar that both the site and the crew can see.
Add the photo report and the two-week repeat reminder.
Where this does not pay back
One cleaner and five jobs a week: a calendar with confirmation is enough, from $699 (₴29,000).
A calculator without extra services quotes low: the conflict returns, just later.
The schedule fails if the manager keeps a parallel list in a notebook.
A mailing will not return someone who chose another firm over price: transparency first, reminders second.
For one-off post-renovation jobs the repeat cycle barely applies: there a review and a friend’s recommendation matter more.

Questions cleaning company owners ask
Will a calculator push our price down, since customers pick the cheapest option?
They pick the option they understand. List what each cleaning type includes and show separately what costs extra: windows, appliances, balcony.
Customers are used to writing on Viber. What do we do about that?
Do not fight the habit; take the data out of it. A Viber message has to become a row in the same schedule, with address, job type and amount. Otherwise two orders land on one slot.
How do we price office contracts?
By floor area, frequency and a zone list: bathrooms, kitchen, floors, waste. In the calculator that is its own service type with a monthly minimum, because one office visit is not a flat clean.
Do we need online payment?
Convenient for one-off jobs, unnecessary for office contracts, which run on an invoice and a monthly act. Both routes can stay, and the customer chooses.
What if a customer orders and then rejects the result?
A checklist and photo report at completion: the list of completed items is recorded in the message. A dispute about “we asked for the windows” closes on a checklist line instead of an argument.
What does such a site cost and how long does it take?
Corporate Lite with a calculator and an order form is from $1,325 (₴55,000), taking 3–4 weeks. Wiring the form into your existing CRM starts at from $361 (₴15,000), 3–7 days.
What the cleaning company’s whole site should hold — services, prices, coverage areas and online ordering — is on the cleaning company page. The mechanics of repeat orders and winning back silent customers are covered separately in the loyalty guide.
