About the project

A website for a Kyiv real estate agency where buyers find a property by district and budget, see the price, photos and documents and send a request, while the agency runs listings and every lead in one CRM that keeps the catalogue up to date by itself.

  • Catalogue and map Filters by district, rooms, budget and type, a map and complex pages with price per m².
  • Listings from the CRM An agent enters a property once: photos, plan, price, status. It appears and disappears on the site by itself.
  • Leads in one pipeline Site, listing portals and calls in one list with a responsible agent and Telegram reminders.
  • Valuation for owners The valuation form creates a deal in the CRM, and an agent comes back with a price within a day.
01 · The brief

The agency has twelve agents working on sales, purchases, rentals and new builds. Listings lived in Excel and on agents’ personal phones and were copied by hand to the site and listing portals, so a sold flat stayed in search results for another week. Leads came from the site, OLX, Instagram and phone calls, and nobody could see who had replied to whom and when. Buyers kept asking the same things: is the price current, is there a video, what documents are there. Owners who wanted to sell had nowhere to leave a request except the general phone line.

02 · What we built

We built a company website on the Standard plan and a CRM for listings and leads. An agent enters a property once in the CRM: photos, floor plan, price in hryvnias and dollars, status, documents. The listing appears on the site on its own and is removed from the catalogue once sold. The catalogue has filters by district, rooms, budget and type, a map and separate pages for residential complexes with price per square metre and completion dates. Owners get a free valuation form that creates a deal in the CRM straight away. All leads (site, listing portals, calls) go into one pipeline with a responsible agent and Telegram reminders, and the manager sees how long the first reply took.

  1. Before Listings in Excel and agents’ phones, copied to the site by hand.

After A listing is entered once in the CRM and published on the site automatically.

  2. Before A sold flat stays in search for another week.

After Once sold, the listing leaves the catalogue automatically.

  3. Before Leads from the site, portals and calls in different places.

After One pipeline with a responsible agent and reminders.

  4. Before Owners have nowhere to leave a request to sell.

After A valuation form that creates a deal in the CRM straight away.

03 · The client’s path

How a person moves through the product, from the first step to the result the business needs.

  1. Looks for a flat

Filters by district, rooms and budget, or browses properties on the map.

  2. Opens a listing

Photos, floor plan, price in two currencies, video tour and the list of documents.

  3. Sends a request

For a viewing or a video tour; the request goes straight to the listing’s agent.

  4. Gets a reply

The agent sees a Telegram reminder and calls back; the manager sees the reply time.

  5. Sells their own flat

The owner leaves the address and size in the valuation form, and the agency comes back with a price.

04 · What is inside the project

  1. Property catalogue with filters by district, rooms, budget and type

  2. A property map and residential complex pages with price per m² and completion date

  3. A listing is entered once in the CRM and appears on and disappears from the site by itself

  4. A valuation form for owners creates a deal in the CRM straight away

  5. All leads in one pipeline with a responsible agent and Telegram reminders

  6. A manager report: time to first reply and deals per agent

Forecast

Within the first 2–3 months, time to first reply drops from hours to 15–30 minutes, “is it still available?” calls fall by about a third, and 10–15% of owner leads come through the valuation form. A guideline, not a promise.

05 · Architecture
